Guest Photographs
During a DrawMeBot Event, photographs of guests may be taken for the purpose of creating personalised artwork.
These photographs may be processed by software used as part of the DrawMeBot experience.
Depending on the Event configuration, the resulting artwork may then be:
- displayed on screen;
- physically drawn by the DrawMeBot robots;
- printed;
- made available digitally; or
- supplied to the guest through an agreed delivery method.
Because photographs can identify individuals, they may constitute personal data.
Digital Delivery Information
Where guests choose to receive digital content, we may process information such as:
- email address;
- mobile telephone number;
- QR-code interaction information; or
- other delivery information supplied by the guest.
The exact information collected will depend on how the Event has been configured.

- company logos;
- brand guidelines;
- campaign artwork;
- promotional messages;
- product imagery;
- website links;
- QR-code destinations;

Some of this may contain personal data.

When you use our website, certain technical information may be collected automatically, including:
- IP address;
- browser type;
- device type;
- operating system;
- pages visited;
- referring website;
- approximate geographic information;
- date and time of visits; and
- website interactions.
Some of this information may be collected through cookies or similar technologies.
See our Cookie Policy for further information.
2. How We Use Personal Information
We may use personal information to:
- respond to enquiries;
- prepare quotations;
- process and manage bookings;
- communicate with Clients;
- organise Event logistics;
- provide the DrawMeBot experience;
- create personalised guest artwork;
- deliver digital Event content;
- create branded Event materials;
- process payments and invoices;
- provide customer support;
- manage complaints;
- improve our services;
- protect our equipment and staff;
- maintain appropriate business records;
- comply with legal obligations;
- prevent fraud or misuse;
- maintain website security;
- understand how our website is used; and
- market our services where permitted by law.
3. Our Lawful Bases For Processing
UK data-protection law requires us to have a valid lawful basis for processing personal data.
Depending on the circumstances, we may rely on the following.
Contract
We may process personal data where it is necessary to:
- provide a quotation;
- take steps at your request before entering into a contract;
- manage a booking; or
- provide services we have agreed to supply.
For example, we need Event organiser contact details in order to deliver an Event booking.
Legitimate Interests
We may process information where this is necessary for our legitimate business interests and those interests are not overridden by your rights.
This may include:
- responding to business enquiries;
- managing business relationships;
- maintaining records;
- protecting our business;
- improving our services;
- securing our website; and
- certain forms of business-to-business communication.
Consent
Where consent is the appropriate lawful basis, we will ask you to make a clear choice.
This may apply, for example, to:
- certain marketing communications;
- optional cookies;
- particular uses of guest photographs; or
- optional promotional uses of Event imagery.
Where processing is based on consent, you may normally withdraw that consent at any time.
Legal Obligation
We may process information where necessary to comply with a legal or regulatory requirement.
This may include accounting, taxation, legal claims or law-enforcement obligations.
4. Guest Photographs and Artwork
Guest photographs are processed for the primary purpose of creating the DrawMeBot experience.
Depending on the Event, a photograph may be:
- captured at the Event;
- processed using image or creative software;
- transformed into artwork;
- displayed while the portrait is being produced;
- physically recreated by a robotic drawing arm; and
- made available to the guest.
Where possible, guest images will only be retained for as long as reasonably necessary for the Event experience and associated operational requirements.
Retention arrangements may vary where third-party software or platforms are used.
5. Artificial Intelligence and Automated Processing
The DrawMeBot experience may use artificial intelligence, automated image processing or other software tools to transform guest photographs into creative artwork.
This processing is used to generate an artistic output rather than to make decisions about an individual’s eligibility, rights, employment, finances or similar significant matters.
We do not use the DrawMeBot portrait process to make solely automated decisions that have legal or similarly significant effects on guests.
6. Photographs and Marketing
Photographs or video may occasionally be taken at Events for promotional purposes, including use on:
- the DrawMeBot website;
- Selfie Stars websites;
- social media;
- brochures;
- presentations;
- promotional videos; or
- portfolios.
Where identifiable individuals are involved, we will consider the appropriate legal basis and any Event-specific restrictions.
Clients arranging confidential, private or restricted Events should notify us before the Event where promotional photography is not permitted.
We will not automatically assume that photographs supplied for the DrawMeBot portrait process can also be used for advertising.
7. Children
DrawMeBot may be used at Events attended by children.
We recognise that children’s personal data requires particular care.
Where an Event is primarily aimed at children, appropriate arrangements should be agreed with the organiser.
Parents, guardians, schools, charities, Event organisers or other responsible adults remain responsible for supervising children participating in the Event.
We do not knowingly use children’s Event photographs for unrelated direct marketing simply because a child has participated in the DrawMeBot experience.
8. Marketing
We may occasionally send information about DrawMeBot or related Selfie Stars services where permitted by law.
For individuals, email and similar electronic marketing will normally require consent unless an applicable exception such as the existing-customer “soft opt-in” applies. The ICO states that electronic marketing consent must be a clear positive action and should specifically cover the organisation and communication method.
Where we ask for marketing consent, we will not use pre-ticked boxes.
You can opt out of marketing at any time by:
- following an unsubscribe link where provided; or
- emailing hello@drawmebot.uk.
Opting out of marketing will not stop communications that are necessary to manage an existing booking.
9. Business Contacts
We frequently work with:
- companies;
- Event agencies;
- marketing agencies;
- venues;
- exhibition organisers;
- Event professionals; and
- corporate Event teams.
Where a person’s business contact details constitute personal data, we will process them in accordance with applicable data-protection law.
We may retain relevant business correspondence where reasonably necessary to manage the business relationship and maintain records.
10. Sharing Personal Information
We do not sell personal information.
We may share information with trusted service providers where necessary to operate our business or supply the DrawMeBot experience.
These may include providers of:
- website hosting;
- email;
- cloud storage;
- booking systems;
- payment processing;
- accounting;
- CRM systems;

We may also share information with:
- venues;
- Event organisers;
- agencies;
- subcontractors;
- insurers;
- accountants;
- solicitors;
- regulators; or
- law-enforcement authorities
where appropriate and lawful.
Service providers are only given information reasonably necessary for the relevant purpose.
11. Third-Party Event Technology
Some aspects of DrawMeBot may rely on technology supplied by third parties.
For example, third-party technology may be used for:
- image processing;
- portrait creation;
- cloud services;
- QR-code delivery;
- email delivery;
- SMS delivery; or
- Event management.
Where those providers process personal data on our behalf, we will take reasonable steps to ensure appropriate arrangements are in place.
Where a provider independently determines how it uses personal data, its own privacy policy may also apply.
12. International Transfers
Some technology providers may process or store personal information outside the United Kingdom.
Where personal data is transferred internationally, we will take appropriate steps required by UK data-protection law.
These may include relying on:
- UK adequacy regulations;
- approved contractual safeguards; or
- another lawful transfer mechanism.
13. How Long We Keep Personal Information
We do not intend to retain personal information indefinitely.
Retention periods depend upon the type of information and why we hold it.
As a general guide:
Enquiries: normally retained for a reasonable period to deal with the enquiry and potential follow-up.
Booking and accounting records: may be retained for up to six years or longer where legally required, to meet accounting, tax and contractual record-keeping obligations.
Event correspondence: normally retained for a reasonable period after the Event in case questions or disputes arise.
Guest photographs and temporary Event files: intended to be retained only for as long as reasonably necessary to provide the Event experience and associated delivery, subject to the configuration and third-party systems being used.
Marketing information: retained until you unsubscribe, withdraw consent or the information is no longer reasonably required.
We may retain limited information for longer where necessary for legal claims, fraud prevention or regulatory obligations.
14. Security
We take reasonable organisational and technical measures to protect personal information against:
- unauthorised access;
- accidental loss;
- misuse;
- disclosure;
- alteration; and
- destruction.
However, no internet, email or digital storage system can be guaranteed to be completely secure.

- the right to object to certain processing;

- the right to withdraw consent where consent is relied upon; and
- rights relating to certain automated decision-making.
These rights are not absolute and may depend on the circumstances.

Our website may contain links to third-party websites.
